Description We are seeking a highly organized and proactive Office Administrator to join our growing team in Dubai. The ideal candidate will be responsible for managing day-to-day office operations, providing administrative support to various departments, and ensuring the office environment runs smoothly. This role is crucial in maintaining efficient office workflows and supporting the overall success of our construction projects.
Responsibilities – Manage daily office operations and activities.

– Oversee supplies, inventory, and office equipment.
– Handle scheduling and communication tasks.
Requirements – Bachelor’s degree or equivalent experience in administration.
– Strong organizational and multitasking skills.
– Proficiency in MS Office (Word, Excel, PowerPoint).
– Excellent communication skills in English.
Working Hours 8 hours per day, Monday to Friday

Key Responsibilities
Oversee daily office operations, including managing phone calls, emails, and correspondence.
Maintain and organize office files, records, and documentation (both physical and digital).
Handle scheduling and calendar management for team meetings, appointments, and events.
Prepare and manage office supplies, ensuring adequate stock levels and placing orders when necessary.
Coordinate and assist with travel arrangements for staff and executives.
Assist in the preparation of project-related documentation, reports, and presentations.
Act as a point of contact for internal and external stakeholders, including vendors, suppliers, and clients.
Manage incoming and outgoing mail and deliveries, ensuring timely distribution.
Support the HR department with employee records, leave management, and onboarding tasks.
Ensure office compliance with health and safety regulations.
Prepare and process invoices, purchase orders, and other financial documents in collaboration with the accounting team.
Assist with organizing company events, meetings, and team-building activities.
Perform other general administrative tasks as needed to support the management team.
Requirements
Proven experience as an Office Administrator, Administrative Assistant, or similar role (preferably in the construction or engineering industry).
Strong organizational and multitasking skills with the ability to manage time effectively.
Excellent communication skills in English (Arabic is a plus).
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.
Ability to work independently and as part of a team.
Strong attention to detail and problem-solving skills.
Ability to handle sensitive information with discretion and confidentiality.
Strong interpersonal skills with the ability to interact with staff at all levels.
Positive, proactive, and flexible attitude.
Valid UAE work permit (if applicable).
